This Privacy Policy explains how Ennea Technologies LLC, doing business as Cleared360 ("Cleared360," "we," "us," or "our"), collects, uses, shares and protects personal information when you visit www.cleared360.com, use the Cleared360 app at app.cleared360.com, or receive notifications from us. Together we call these the "Service."

The short version

  • Cleared360 is software your flying club uses to run itself. Most of what we hold about you was entered by you or by your club, and your club decides who inside it can see what.
  • We use your information to run the Service for your club. We do not sell it, and we do not use it for advertising.
  • We do not use advertising or analytics trackers.
  • You control your notifications, including text messages, in Settings > My Account.
  • Questions or requests go to support@cleared360.com.

1. Clubs and Cleared360: who is responsible for what

Flying clubs, flight schools and similar organizations ("Clubs") subscribe to Cleared360 and invite their members to use it. When you use the Service as a member of a Club, your Club decides what information it keeps about its members, which of its officers can see it, and how long it keeps its records. For that information we act as a service provider to your Club. We process it to run the Service for the Club and under the Club's instructions.

We decide how information is used for our own purposes, such as operating our website, managing accounts and sign-in, providing support, securing the Service, and billing Clubs. For those purposes we are responsible for your information directly.

If you have a question about information your Club keeps, such as your account balance or a membership record, your Club is usually the best place to start. You can always contact us too, and we will work with your Club to answer it.

2. Information we collect

Information you or your Club give us

  • Account and profile. Your name, email address, phone number, password, pilot certificate and ratings, instructor profile, and your roles in each Club you belong to. Passwords are stored by our authentication provider in hashed form. We never store or see them in readable form.
  • Contact and emergency information. Your mailing address and an emergency contact's name and phone number.
  • Pilot currency and medical dates. Flight review, instrument and night currency dates, medical certificate class and expiration, BasicMed dates, flight instructor and TSA training expiration dates, and any proof you upload, such as a photo of a certificate or card. We ask for the class and the dates, not medical records. An uploaded image may show other details printed on it, such as limitations. Only you and the Club officers who manage currency can see it.
  • Personal minimums. The ceiling, visibility and wind limits you set for your own flying.
  • Flight and aircraft activity. Bookings, instructor reservations, dispatch and check-in records, meter readings, fuel, landings, departure airports and routes, the weather briefings generated for your flights, squawks, photos you attach to squawks, and comments.
  • Membership and billing records. Your membership type, dues, charges, payments, account balance, statements and block time packages.
  • Documents and signatures. Club documents you sign in the Service, including the name you type and when you signed.
  • Communications. Announcements, messages, meeting records (minutes, attendance, motions, votes and attachments), feedback you submit, and emails you send to our support team.
  • Preferences and consents. Your notification settings, your consent to receive text messages, and your acceptance of our agreements, with the date.

Information about payments

If your Club turns on online payments, card and bank payments are handled by Stripe. Your full card number and bank account number go directly to Stripe and never reach our servers. We keep Stripe's reference numbers for your saved payment methods, plus the card brand or bank name and the last four digits, so you can tell your methods apart. Clubs that pay us for the Service are billed through Stripe in the same way. Stripe uses this information under its own privacy policy.

Information collected automatically

  • Device and log information. Our hosting and database providers record standard server logs, including IP address, browser type, the pages or features requested, and the time of each request. We use them for security and troubleshooting.
  • Feedback diagnostics. When you submit feedback in the app, the report includes the page you were on, your browser and device type, your screen size and the app version, so we can reproduce the problem.
  • Change history. The Service keeps an audit trail of changes to Club records, showing who changed what, when, and the value before and after. Clubs use it to answer the question "who changed this?"

Information from our website

If you request beta access or join our waitlist, we collect your name, email address, club name, your role, your fleet size, and any message you include.

Information from public sources

We may collect business contact information for flying clubs that is publicly available, such as club directories and club websites, and use it to introduce Cleared360 to those clubs. You can ask us to stop contacting you at any time.

3. How we use information

We use personal information to:

  • Provide the Service to your Club, including scheduling, dispatch, maintenance tracking, billing, reports and weather briefings.
  • Send the notifications you or your Club set up, such as booking confirmations, reminders and changes, squawk alerts, maintenance reminders, flight briefings, club announcements, meeting notices and account statements.
  • Apply the rules your Club configures, such as blocking a booking when a required currency date has expired.
  • Respond to support requests and feedback, and diagnose and fix problems. Our team may access Club data when needed to troubleshoot, or when you or your Club ask us to.
  • Protect the Service and its users, including detecting and preventing fraud, abuse and unauthorized access.
  • Understand how the Service is used so we can improve it.
  • Send you news about Cleared360, such as new features. You can unsubscribe from these at any time using the link in the email.
  • Comply with the law and enforce our Terms of Service.

We do not sell personal information. We do not share it for cross-context behavioral advertising, and we do not use it to show you advertising.

4. Text messages

Cleared360 Alerts sends text messages about your flying, such as booking reminders and changes, squawk and maintenance alerts, operational notices from your Club (not promotions), and verification codes. We send them only if you opt in yourself, from your own account.

  • Message frequency varies with your bookings, your Club's activity and your settings.
  • Message and data rates may apply.
  • Reply STOP to any message to stop receiving texts. Reply HELP for help, or email support@cleared360.com.
  • You can also turn text messages off in Settings > My Account.
  • Consent to receive text messages is not a condition of membership or of any purchase.

We do not share mobile information with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent are excluded from every category of sharing described in this policy and will not be shared with any third parties. The full terms of the program are in section 7 of our Terms of Service.

5. How we share information

Inside your Club

Other members of your Club can see basic directory information, such as your name, email address and phone number, so members can coordinate aircraft and flights. More sensitive information is limited by role:

  • Your mailing address and emergency contact are visible to you and to Club officers, not to other members.
  • Your currency and medical dates are visible to you and to your Club's admins, safety officers and instructors.
  • Your account balance, charges and payments are visible to you and to your Club's admins and treasurer.

Your Club's admins decide who holds which role. If you belong to more than one Club, each of them sees the same profile, and your currency and medical dates are shared across those Clubs because they describe you as a pilot, not your membership in one Club. Bookings, flights and billing records stay within the Club they belong to.

Service providers

We use a small number of providers to run the Service. They act on our behalf, process personal information only on our instructions, and use it only to provide their services to us.

Services that load in your browser

Some parts of the Service load content directly from other companies, which then receive your IP address and basic browser information:

  • Fonts are loaded from Google Fonts.
  • Maps in the Weather Brief load map tiles from providers such as Esri and OpenStreetMap.

Weather and aeronautical data

To build weather briefings and show airport information, we request data from sources such as the National Weather Service, the FAA, Open-Meteo and SkyLink. These requests contain airport identifiers, routes, times and altitudes. They do not contain your name or contact information.

Other sharing

  • Legal requirements. When we believe in good faith that disclosure is required by law, subpoena or court order, or is needed to protect the rights, property or safety of Cleared360, our users or others.
  • Business transfers. If we are involved in a merger, acquisition, financing or sale of assets, information may transfer as part of that transaction, and this policy will continue to apply to it.
  • With your consent or at your direction.

6. Cookies and browser storage

We do not use advertising cookies, analytics cookies or third-party tracking tools. The app keeps your sign-in session and a few display preferences, such as your preferred schedule view, in your browser's local storage. Clearing your browser's storage signs you out and resets those preferences. When you use online payments, Stripe sets cookies it uses to prevent fraud, as described in Stripe's privacy policy.

Because we do not sell your information or share it for targeted advertising, Do Not Track and Global Privacy Control signals have nothing to opt you out of.

7. How long we keep information

  • Club records are kept while the Club uses the Service. Flight, maintenance and billing records often need to be kept for years, and the Club decides how long it keeps them.
  • If you leave a Club or a Club removes you, your access ends and your future bookings are canceled. Your flight and billing history stays with the Club, because it is part of the Club's operating and financial records.
  • Change history is kept for 24 months.
  • Server and request logs are kept for short periods, generally no more than 30 days, unless we need them to investigate a security issue.
  • Backups run on a rolling schedule. Deleted information may remain in backups for up to 30 days before it is overwritten.
  • Beta signup information is kept until the beta ends or you ask us to delete it.
  • When a Club's account ends, the Club may export its data for 30 days. After that we delete or de-identify it within 90 days, unless we must keep something to meet legal, tax or accounting obligations.

8. Your choices and rights

  • Update your information in Settings > My Account. Some records, such as currency dates, are maintained by your Club's officers, so ask them to correct those.
  • Control notifications in Settings > My Account, under Notifications. You can turn email, push and text notifications on or off.
  • Unsubscribe from Cleared360 news using the link in any of those emails. This does not stop the notifications your Club relies on, such as booking reminders.
  • Access, correct, delete or get a copy of your information by emailing support@cleared360.com. We will verify your identity before acting, and we respond within 45 days, or sooner where the law requires. Where a request covers records your Club controls, we will work with your Club. We may keep information where the law requires it, or where it forms part of a Club's flight or financial records.

Additional rights under US state laws

Depending on where you live, including California, Colorado, Connecticut, Oregon, Texas, Utah and Virginia, you may have the right to:

  • know what personal information we have about you and get a copy of it
  • correct inaccurate information
  • delete your information
  • opt out of the sale of your information, targeted advertising and certain kinds of profiling (we do none of these)
  • not be treated differently for exercising any of these rights

You can use an authorized agent where your state allows it. If we decline your request, you may appeal by replying to our decision. If we deny your appeal, you may contact your state attorney general.

9. How we protect information

  • All traffic to the Service is encrypted in transit with HTTPS.
  • Our database and file storage providers encrypt data at rest.
  • Each Club's data is kept separate by database access rules that are enforced on every request, and access within a Club follows the roles its admins assign.
  • Passwords are hashed, and card and bank numbers are never stored on our servers.
  • Access to production systems is limited to the people who need it.

No method of storing or transmitting information is perfectly secure. If a breach affects your personal information, we will notify you and your Club as the law requires.

10. Children and teen pilots

The Service is not directed to children under 13, and we do not knowingly collect personal information from them. Members aged 13 to 17 may use the Service only through a Club and with the permission of a parent or guardian. If you believe a child under 13 has given us personal information, contact us and we will delete it.

11. Where information is stored

Cleared360 is based in the United States, and we store and process information in the United States. If you use the Service from outside the United States, your information will be transferred to and processed in the United States.

12. Changes to this policy

We may update this policy as the Service changes. We will post the new version here with a new effective date. If a change is material, we will tell you by email or with a notice in the app before it takes effect.
